Administrative Operations Assistant

Full Job Description

Position Purpose:

This position functions to support the Director of Operations in completing tasks across all areas of her/his responsibility, including finance, facilities, human resources, data management, information systems, and compliance. Primarily, the Operations Assistant performs data entry, recordkeeping, and general office tasks. This position description is intended to act as an outline of skills and competencies deemed necessary to be successful in this role within the current office/program environment and structure. An appropriate candidate will understand, anticipate, and adapt to developing organizational needs.

Essential Responsibilities:

  • Enter student grades, attendance, and evaluation data into Excel, Forms, and HR Software
  • Enter employee data into HR Software
  • Print, copy, scan and save hard copies for organization in cloud storage
  • Operate a commercial multi-function copier (MFC) to scan, print, and copy using a variety of perimeters and styles
  • Operate a voice over internet protocol phone (VOIP) system to perform reception duties such as call routing and taking messages
  • Troubleshoot copiers and scanners for issues such as paper jams, toner problems, networking, etc.
  • Produce packets necessary for student cohorts, committees, and meetings as requested
  • Access online accounts to retrieve documents for archival
  • At the direction of the Director, coordinate/schedule routine maintenance visits such as vent cleaning
  • As requested, contact approved vendors to coordinate emergency repair services
  • Complete general opening/closing procedures as requested
  • Produce documents in hard copy and/or Adobe Sign and coordinate to obtain relevant signatures
  • Coordinate and maintain multiple shared calendars on SharePoint
  • Develop and maintain knowledge of program policies and procedures
  • Assist in maintenance of hard files and conversion to cloud-based filing

Prepare, distribute, and record weekly stipend disbursements for up to 30 students

Additional Job Responsibilities:

  • Attend and participate in meetings as requested by supervisor
  • Complete all areas of responsibility in compliance with program code of conduct and confidentiality policies
  • Be a contributory team member in a positive/productive manner
  • Demonstrate commitment to mission, values, and policies in the performance of daily duties

Other related duties as assigned by supervisor

Minimum Requirements:

  • Associate degree or equivalent coursework
  • 2+ years Administrative Support experience in a professional setting
  • Moderate to advanced knowledge of the Microsoft suite of software included with Office 365
  • Must be able to operate Windows OS
  • Non-Profit experience preferred
  • Occasional lifting up to 50lbs
  • Valid KS or MO driver’s license
  • Ability to set and maintain professional boundaries
  • Ability to express oneself clearly in conversations and interactions with others as well as through professional, written communication
  • Demonstrated strong organizational, time management and recordkeeping skills, ability to meet tight deadlines
  • Ability to tackle a problem by using a logical, systematic, sequential approach

Job Type: Full-time

Pay: $40,000.00 per year
